How to Fix an Article Not Appearing in Search or Category Pages

A SoftwareRoad Knowledge Base article may sometimes open correctly through its direct URL but fail to appear in live search, category listings or other public knowledge base sections.

This usually happens because of the article status, category assignment, Unlisted setting, search wording or cached content.

Work through the checks below in order.

Check that the article is published

Only published knowledge base articles are normally shown to visitors.

Open:

Knowledge Base > All Articles

Find the affected article and check its status.

The article should not be:

  • Draft
  • Pending Review
  • Scheduled for a future date
  • Private
  • Password protected
  • In the Trash

Edit the article and select Publish or Update if required.

Test while signed out

A WordPress administrator can preview articles that are not publicly available.

Open the article in a private browser window while signed out of WordPress.

If the article returns a 404 error or asks you to sign in, it is not currently public.

Check the publication date

A scheduled article will not appear before its selected publication date and time.

Open the article and check the Publish panel.

Make sure:

  • The date is not in the future
  • The website timezone is correct
  • The article status is Published

You can check the WordPress timezone under:

Check whether the article is unlisted

SoftwareRoad Knowledge Base includes an Unlisted Article option.

An unlisted article can still be opened through its direct URL, but it is normally excluded from public discovery areas.

This includes:

  • Knowledge base search
  • Category article lists
  • Popular Articles
  • Related Articles
  • Recommended Articles
  • Recently Updated lists
  • XML sitemaps

Unlisted content is useful when you want to share a guide through a direct link without showing it in the normal knowledge base structure.

Disable the Unlisted Article setting

To make the article visible again:

  1. Open Knowledge Base > All Articles.
  2. Edit the affected article.
  3. Find the Unlisted Article setting.
  4. Disable it.
  5. Select Update.
  6. Clear the website cache.
  7. Test search and the assigned category again.

The article should return to normal public listings.

Unlisted does not mean private

An unlisted article is not protected content.

Anyone with the direct URL may still be able to open it.

Do not use the Unlisted option for:

  • Passwords
  • Customer records
  • Private licence information
  • Confidential company documents
  • Personal information

Use suitable WordPress access controls for genuinely private content.

Check the assigned category

An article must be assigned to the correct knowledge base category to appear in that category listing.

Edit the article and find the Knowledge Base Categories panel.

Check that:

  • At least one category is selected
  • The correct category is selected
  • The category has not been deleted
  • The article has not been assigned to a similarly named category

Select the correct category and update the article.

An article can belong to more than one category

SoftwareRoad Knowledge Base can allow an article to be assigned to multiple categories.

For example, a licence troubleshooting guide could appear under:

  • Licence and Subscription
  • Troubleshooting

Only assign an article to categories where it is genuinely relevant.

Adding every article to several categories can make the knowledge base harder to browse.

Check the parent and child category

You may be viewing the wrong level of the category structure.

For example:

Installation

An article assigned only to Installation may appear on the child category page rather than directly in the parent list, depending on the selected layout.

Open the article and confirm its exact category assignment.

Then open that category from:

Knowledge Base > Categories

Check whether the category is public

Open:

Find the assigned category and select View.

If the category returns a 404 error, fix the category URL or permalink problem first.

An article cannot appear properly within a category page that WordPress cannot load.

Check the category has not been deleted

If a category was deleted after the article was assigned, the article may no longer have a valid category.

Edit the article and assign it to an existing category.

Then update the article and clear the website cache.

Check the category article count

The WordPress category screen may show how many articles are assigned to each category.

If the expected article is missing from the count, it may not be assigned correctly.

Remember that draft or unlisted articles may not be included in the public result even if WordPress still records the relationship.

Check the article title

SoftwareRoad Knowledge Base search uses article wording to find relevant results.

A vague title may be difficult to find.

Search using wording from the title

Enter two or more characters from the article title into the live search box.

If the article appears using its exact title but not another phrase, the problem is likely the wording rather than the search system itself.

Search requires at least two characters

Live knowledge base search begins after the visitor enters at least two characters.

A one-character search such as:

will not normally return results.

Use a longer and more specific term when testing.

Check the article excerpt

The article excerpt gives search and article lists a short summary of the guide.

A clear excerpt can improve how easily visitors recognise the correct result.

For example:

Avoid excerpts such as:

This article explains more information.

Add or improve the excerpt

To update it:

  1. Edit the knowledge base article.
  2. Find the Excerpt field.
  3. Add one or two clear sentences.
  4. Include the main subject naturally.
  5. Update the article.
  6. Clear the cache.
  7. Search again.

Do not fill the excerpt with repeated keywords.

Write it for visitors first.

Check the article content

Search may also use wording from the article content.

Make sure the main subject appears naturally in:

  • The title
  • Opening paragraph
  • Headings
  • Excerpt
  • Instructions

For example, an article about product keys should actually use the phrase product key in the content.

Do not rely entirely on an icon or image to explain the subject.

Use the wording visitors are likely to enter

Visitors may search differently from the wording used internally by your business.

For example, they may search for:

Your article can naturally mention useful alternative wording where it makes sense.

Check for spelling differences

Confirm that you created the article on the same WordPress installation where you are testing search.

Clear WordPress caching

A cached search page or category listing may not include a newly published or updated article.

Clear:

  • Server cache
  • CDN cache
  • Browser cache

Then open the knowledge base in a private browser window.

Some performance tools cache AJAX or REST responses.

If live search continues returning an old list, review caching settings related to:

Dynamic search responses should not normally be stored for long periods.

Clear category page caching

If the article appears in search but not in its category, clear the category page cache specifically.

Update the article after clearing cache

Check the article URL

Check the active licence

Check article visibility after licence reactivation

After reactivating the licence:

Cached unavailable content may remain until it is purged.

Check whether the article appears in WordPress REST results

Published, listed articles should normally appear in the public collection while the licence is active.

You can search by slug:

If the article is missing, check:

  • Published status
  • Unlisted setting

  • Slug spelling
  • REST API restrictions

This check is intended mainly for developers.

Check security plugin restrictions

A security plugin may block the AJAX request used by live search.

Open the browser developer tools and check the Network tab while searching.

Look for failed requests with status codes such as:

  • 403
  • 404
  • 500

Review security settings related to:

  • Bot protection
  • Rate limiting

Check the displayed result limit

SoftwareRoad Knowledge Base displays a limited number of live results, normally up to six.

An article may match the search but appear below the displayed result limit.

Use a more specific search term.

This helps narrow the result list.

Improve overly broad article titles

Several articles may begin with the same words.

For example:

  • How to Use Settings
  • How to Use Search
  • How to Use Analytics
  • How to Use Categories

These can be difficult to distinguish in compact search results.

Use more specific titles such as:

  • How to Customise Knowledge Base Search
  • How to Use Search Analytics
  • How to Create Parent and Child Categories

Check duplicate or similar articles

Two articles may cover nearly the same subject.

Search may show one while the other falls below the result limit.

Review whether the guides should be:

  • Combined
  • Renamed
  • Separated more clearly
  • Assigned to different categories
  • Linked to each other

Avoid publishing several articles with almost identical titles and excerpts.

Check the category page layout

The category page may only display a certain number of articles before pagination or another navigation control appears.

Scroll to the bottom and check for:

The article may be on another category results page.

Check article ordering

Category listings may be ordered by:

  • Publication date
  • Modified date

A newly published article may appear at the bottom rather than the top.

Search the page for part of the article title before assuming it is missing.

Check whether the article is inside a child category

A parent category page may show child categories first.

The article may be listed only after opening the child category.

Review the full category structure under:

Check homepage category cards

If the whole category is missing from the knowledge base homepage, check whether it contains any published, listed articles.

An empty category may be hidden.

Once a published article is assigned, clear the cache and reload the homepage.

A published article does not automatically appear in Popular Articles.

Popular Articles depend mainly on recorded visitor views.

A new article may need time to collect views.

Recently updated articles can be used as fallback content while view totals are still building.

An article missing from Related or Recommended Articles may still be working correctly in search and categories.

These sections use their own relevance and category rules.

Check that:

  • The article shares a relevant category
  • It is not unlisted
  • It is published
  • The section is enabled
  • Enough suitable articles exist

Check automatic article links

Automatic Article Links do not control whether an article appears in search.

They only create links from selected wording inside other article content.

Do not use automatic links as a replacement for clear titles, excerpts and category assignments.

The article appears in search but not its category

Check:

  • Correct category assignment
  • Category hierarchy
  • Category page cache
  • Pagination
  • Article status
  • Unlisted setting

Update the article after selecting the category again.

Then clear the category page cache.

The article appears in its category but not search

Check:

  • Search is enabled
  • Title and excerpt wording
  • Article content
  • Minimum two-character search
  • Live result limit
  • AJAX requests
  • JavaScript errors
  • Search page cache

Try searching for the exact article title.

The article appears only when signed in

Check that the article is truly published and public.

Also review:

  • Membership restrictions
  • Private content settings
  • User-role conditions
  • Page-builder visibility
  • Logged-out caching
  • Security rules

Test its direct URL in a private browser window.

The article disappeared after editing

Review what changed during the edit.

Possible causes include:

  • Article status changed to Draft
  • Unlisted was enabled
  • Category selection was removed
  • Publication date moved into the future
  • Slug was changed
  • A page cache was created before the update completed

Correct the setting and update the article again.

The article disappeared after moving categories

The article may now appear under the newly selected category.

Open the article and confirm the current category selection.

If the previous category link was shared externally, the article URL should normally remain the same unless its own slug or article base also changed.

The article disappeared after restoring a backup

A restored database may contain an older version of the article or plugin settings.

Check:

  • Article status
  • Category assignment
  • Unlisted setting
  • Plugin licence
  • Selected knowledge base page
  • Search settings
  • Permalinks

Clear all caches after restoring WordPress.

The article disappeared after changing the URL base

Resave WordPress permalinks and clear all caches.

Open the current article URL from the WordPress editor.

Search results may still contain cached links using the old base until the cache is refreshed.

Add redirects from old public URLs to the new ones.

The article is visible but has the wrong icon

This is a separate display issue.

Edit the article and check:

  • Bootstrap icon class
  • Uploaded custom image
  • Article icon size
  • Cache

An uploaded custom image takes priority over a Bootstrap icon.

The article has no excerpt in search

Add a manual excerpt in the article editor.

If no excerpt is supplied, WordPress may generate one from the article content.

A manual excerpt gives you more control and usually creates a clearer live search result.

The search result opens the wrong article

Check for:

  • Duplicate titles
  • Similar slugs
  • Old cached results
  • Redirect rules
  • Duplicate articles
  • Imported content

Open the returned result and compare its WordPress article ID with the intended article.

Rename duplicate content clearly.

Recreate the article only as a last resort

Do not immediately copy the content into a new article.

Recreating it can lead to:

  • Duplicate URLs
  • Lost view analytics
  • Broken external links
  • Duplicate search results
  • Old article references

Fix the status, category, unlisted setting or cache first.

Missing article troubleshooting checklist

Before contacting support, check that:

  • The article is Published
  • The publication date is not in the future
  • The article is not Private or password protected
  • Unlisted Article is disabled
  • The correct category is selected
  • The category still exists
  • The correct parent or child category is being viewed
  • The article title clearly describes the subject
  • A useful manual excerpt has been added
  • Relevant wording appears naturally in the article
  • Search is enabled
  • At least two characters are entered
  • A specific search term has been tested
  • The displayed result limit has been considered
  • The main Knowledge Base Page is correct
  • The srkb_knowledge_base shortcode page is published
  • The licence is active
  • The article URL works publicly
  • WordPress permalinks have been resaved
  • WordPress, server and CDN caches have been cleared
  • JavaScript and AJAX errors have been checked
  • Security and optimisation plugins have been reviewed
  • The article has been tested while signed out

The article should return to search and category pages once it is published, listed, assigned correctly and the latest knowledge base content is no longer being hidden by cache.
