How to Remove a SoftwareRoad Knowledge Base Licence from a Website
You can remove the saved SoftwareRoad Knowledge Base licence from your WordPress website at any time.
This may be useful if you are moving the knowledge base to another website, changing the licence details or no longer want the current product key stored on the installation.
Removing the licence does not delete your knowledge base articles, categories or settings.
Before removing the licence
Make sure you understand what will happen once the saved licence has been removed.
Without an active SoftwareRoad Knowledge Base licence:
- The public knowledge base may become unavailable
- Knowledge base articles and categories may no longer be accessible through the plugin
- The plugin settings may be locked
- Analytics may become unavailable
- Live search and helpful voting may stop working
- Protected plugin features will remain unavailable until another eligible licence is activated
Your content stays in the WordPress database, but the plugin needs an active Monthly or Yearly licence to make the protected areas available.
Remove the saved licence
To remove the licence from your website:
- Sign in to your WordPress dashboard.
- Open Knowledge Base > Licence.
- Check that the correct licensed email and plan are displayed.
- Select Remove licence from this website.
- Confirm that you want to remove the saved licence.
The plugin will remove the saved email address, product key, plan and licence status from that WordPress installation.
You should then be taken back to the licence activation screen.
What information is removed?
Removing the licence clears the saved activation details from the website.
This includes:
- Purchase email address
- Product key
- Current licence status
- Detected Monthly or Yearly plan
- Detected product
- Recent licence check information
- Scheduled automatic licence check
The plugin will no longer be able to confirm that the installation has an active subscription until licence details are entered again.
What is not removed?
Removing the licence does not delete:
- Knowledge base articles
- Knowledge base categories
- Article excerpts
- Featured images
- Category icons
- Plugin settings
- Design settings
- Search analytics
- Article view totals
- Helpful voting totals
- The main knowledge base page
This information remains stored in WordPress.
Once an eligible licence is activated again, your existing knowledge base should become available with its previous content and settings.
Does removing the licence cancel my subscription?
No. Removing the licence from WordPress does not cancel your Monthly or Yearly subscription.
It only removes the saved activation details from that particular website.
Your subscription will continue to renew according to its current billing schedule unless it is cancelled separately through the account or payment method used to purchase it.
If you no longer need the subscription, removing the licence from WordPress is not enough to stop future payments.
Moving the licence to another website
If you are moving your WordPress website to another domain or installation, remove the licence from the old website before activating it on the new one.
A simple move would normally involve:
- Backing up the old website.
- Moving or rebuilding the WordPress website.
- Removing the licence from the old installation.
- Installing SoftwareRoad Knowledge Base on the new website.
- Activating it using the purchase email and product key.
- Checking the knowledge base homepage, articles and categories.
If the whole WordPress database is copied during a migration, the old licence details may also be copied to the new website.
Open Knowledge Base > Licence after the move and check that the licence status is correct.
Changing to a different licence
You may need to replace the saved licence if:
- The plugin was activated using the wrong purchase email
- You received a replacement product key
- You changed from Monthly to Yearly
- You changed from Yearly to Monthly
- Another subscription will now be used for the website
To change the licence:
- Open Knowledge Base > Licence.
- Select Remove licence from this website.
- Return to the activation screen.
- Enter the new purchase email address.
- Enter the new product key.
- Select Activate Licence.
The plugin will check the new details and automatically detect the connected Monthly or Yearly plan.
What visitors see after the licence is removed
Once the licence has been removed, visitors may no longer be able to view the public knowledge base.
Instead of the normal homepage, articles or category pages, they may see a temporary unavailable message.
Search engines may also be instructed not to index unavailable knowledge base content while the plugin does not have an active licence.
For this reason, avoid removing the licence from a live website unless you are ready to activate another eligible licence straight away.
Can I remove the licence if the website is broken?
If WordPress is still accessible, use the Licence screen where possible.
If the website cannot load or the WordPress dashboard is unavailable, you may need to restore access before removing the saved details normally.
Do not delete database options manually unless you are comfortable working directly with WordPress data and have created a full backup.
Removing the plugin folder does not necessarily remove the saved licence information because the details are stored in the WordPress database.
The remove licence button does not work
If selecting the button does not remove the licence, check for:
- An expired WordPress login session
- A cached administration page
- A security rule blocking form submissions
- A WordPress permission problem
- A JavaScript error in the dashboard
- An incomplete plugin update
Try the following:
- Refresh the Licence page.
- Sign out of WordPress and sign in again.
- Clear the website and browser cache.
- Check that you are signed in as an administrator.
- Confirm that SoftwareRoad Knowledge Base is fully updated.
- Try the button again.
If the problem continues, contact SoftwareRoad support and include the exact message shown on the page.
The activation screen appears unexpectedly
If you did not deliberately remove the licence but the activation screen has appeared, check that:
- The subscription is still active
- The renewal payment completed
- The saved WordPress database options have not been removed
- The website was not restored from an older backup
- The site was not copied to another database
- The product key has not been replaced
Enter your purchase email address and product key again.
If the licence is valid, your existing articles, categories and settings should become available again.
Reactivating the same website
You can activate SoftwareRoad Knowledge Base again after removing the licence.
To reactivate it:
- Open Knowledge Base > Activate Licence.
- Enter the purchase email address.
- Enter the SoftwareRoad Knowledge Base product key.
- Select Activate Licence.
The Monthly or Yearly subscription must still be active.
After successful activation, check that:
- The Knowledge Base menu is available
- The settings are still present
- Articles and categories can be opened
- The public knowledge base loads
- Search works
- Analytics are available
Should I remove the licence before uninstalling?
If you are permanently removing SoftwareRoad Knowledge Base from a website, remove the licence first where possible.
This gives you a clear record that the product key is no longer being used on that installation.
After removing the licence, you can deactivate and delete the plugin through:
Plugins > Installed Plugins
Deleting the plugin files does not necessarily delete the knowledge base content or saved database information.
Create a full backup before permanently removing anything from the website.
Keeping your knowledge base available
A live SoftwareRoad Knowledge Base website should always have an active Monthly or Yearly licence.
Keeping the subscription active ensures that visitors can continue reading your documentation and that you retain access to article management, search, analytics, updates, compatibility improvements and SoftwareRoad support.
Only remove the saved licence when you are moving the installation, replacing the product key or deliberately taking the knowledge base offline.
